Certified translation in Thailand: the authoritative guide

Certified translation is the linchpin of every cross-border legal, immigration, academic, and commercial process that touches Thailand. A translation is only "certified" in the Thai sense when three independent conditions are met simultaneously: (1) the translator is registered with either the Department of Consular Affairs of the Ministry of Foreign Affairs (MFA) or the Ministry of Justice (MoJ); (2) the translation carries an Affidavit of Translation Accuracy bearing the translator's licence number and original wet-ink signature; and (3) the source document is physically attached or unambiguously cross-referenced so that the receiving authority can verify the chain of custody. Why "any translator with a stamp" is not enough

The single most expensive mistake we see, week after week, is documents being rejected at an embassy counter or by an immigration officer because the translator was not on a recognised registry. Freelance translators, AI-generated translations, and translations produced by agencies that lack MFA/MoJ-registered staff are routinely rejected — even when the linguistic quality is excellent. The reason is procedural, not linguistic: the receiving authority needs an enforceable chain of accountability. If a sworn translator misrepresents a document, they can be sanctioned by their registering ministry; an unregistered translator cannot. This is why MFA Consular Affairs publishes an explicit list of accepted translation providers and why every foreign embassy in Bangkok maintains its own short-list of approved firms.

Document categories and pricing logic

Pricing is determined by three independent variables — language pair, document complexity, and downstream legalisation path — not by word count alone. Tier A (THB 300–500 per page) covers short personal certificates such as Thai or foreign ID cards, household registration extracts, birth/marriage/death certificates, name-change certificates, and short school transcripts. Tier B (THB 600–1,200 per page) covers medium-complexity commercial documents: company affidavits, board resolutions, articles of association extracts, employment contracts, bank statements, and standard powers of attorney. Tier C (THB 1,200–2,500 per page) is reserved for high-stakes legal instruments: court judgments, divorce decrees, probate filings, complex commercial contracts, M&A documentation, arbitration awards, and patent specifications. Tier D (custom quote) covers specialist work: medical records for AHPRA registration, engineering drawings, pharmaceutical dossiers, and multi-volume litigation bundles.

Turnaround you can actually plan around

Standard turnaround is two to three business days for Tier A and B; three to five for Tier C. Express service compresses Tier A and B to a single business day for a flat +THB 500 per page surcharge. Our Same-day Rush service (4–8 working hours) is reserved for short Tier A documents and requires the source to be received before 10:00 Bangkok time; the surcharge is +THB 1,500 per document. For embassy-bound packets we publish a combined timeline — translation plus MFA endorsement plus embassy stamping — so you know exactly when DHL will hit your destination address. Typical end-to-end figures: Australia (NAATI route) 5–8 business days; Germany 8–12 business days; United States 6–10 business days; United Arab Emirates 10–14 business days.

Acceptance map — where our translations are recognised

Inside Thailand: all 168 foreign embassies and consulates, MFA Department of Consular Affairs (Chaeng Watthana), Royal Thai Police, Department of Lands, Department of Business Development, all civil and criminal courts, all administrative courts, the Revenue Department, the Office of Insurance Commission, and the Securities and Exchange Commission. Quality assurance — two-pass review and four-eye verification

Every translation passes through a two-stage quality gate. Stage one is the primary translator, who delivers a first draft together with a translator's note flagging any ambiguities in the source. Stage two is an independent legal editor — a different MoJ-registered translator with subject-matter expertise — who performs a four-eye review against the original. For Tier C work we add a third pass by a qualified lawyer who confirms that legal terms, proper nouns, monetary figures, and dates are rendered exactly as the receiving authority will expect. This three-pass workflow is why our rejection rate at embassies is below 0.3%, measured across the past 36 months.

Handling sensitive material — confidentiality & data protection

All staff sign a perpetual non-disclosure agreement. Source documents are processed on encrypted internal servers (AES-256 at rest, TLS 1.3 in transit), retained for 90 days for revision purposes, then permanently deleted unless the client instructs otherwise in writing. We are PDPA-compliant (Thailand's Personal Data Protection Act, B.E. 2562) and GDPR-aligned for European clients. For M&A and litigation work we operate on isolated air-gapped workstations with dedicated translators bound by deal-specific NDAs.

For orders of three documents or more, pickup and delivery within metropolitan Bangkok is complimentary (Grab Express, same-day). Outside Bangkok we use Kerry Express or EMS with full tracking. International shipping is handled by DHL Express with door-to-door tracking and signature confirmation; the typical transit time is 2–4 business days to any major city worldwide. Hardcopy + PDF dual delivery is the default; a digital-only option is available where the receiving authority accepts e-signatures and QR-verifiable certificates.
