1. Data Controller

NYC Legal & Notary Service Co., Ltd. (juristic person registration no. 0435567000061), head office at 109/19 Moo 7, Mittraphap Road, Sila Sub-district, Mueang District, Khon Kaen 40000, Thailand, is the controller of your personal data under the Personal Data Protection Act B.E. 2562 (PDPA).

2. Personal Data We Collect

• Identity data: full name, national ID / passport number (used only for document certification)
• Contact data: telephone number, email, LINE ID, delivery address
• Document data: source documents and translations submitted for certification
• Payment data: proof of transfer (we do not store credit-card numbers on our systems)
• Website usage data: IP address, browser type, cookies

3. Purposes of Processing

• Providing translation and document certification, notarial services, apostille and legalization
• Communicating about your matter and delivering documents
• Issuing receipts and complying with tax and accounting obligations (retained 5 years by law)
• Improving the quality of our services and website
• Sending news and promotions (only with your consent)

4. Lawful Basis

We process your data on the basis of (a) performance of a service contract, (b) legal obligations such as retention of receipts under the Revenue Code, (c) legitimate interests such as service improvement, and (d) consent for marketing or certain cross-border transfers.

5. Disclosure to Third Parties

• Notarial Services Attorneys registered with the Lawyers Council of Thailand for certification purposes
• The Ministry of Foreign Affairs (Department of Consular Affairs) and embassies when legalization is required
• Courier providers such as Kerry, Grab and Thailand Post EMS (delivery address only)
• Government authorities where required by a court order or by law
• We do not sell your personal data to third parties for their own marketing purposes

6. Retention Periods

• Client and matter records: 5 years from completion of the service (for government inspection)
• Copies of certified documents: 7 years in line with Lawyers Council practice
• Receipts and tax documents: 5 years under the Revenue Code
• Marketing data: until you withdraw consent

7. Data Subject Rights

• Right of access and to obtain a copy of your data
• Right to rectification
• Right to erasure — except where retention is required by law
• Right to object to or restrict processing
• Right to data portability
• Right to withdraw consent at any time
• Right to lodge a complaint with the Personal Data Protection Committee (PDPC) of Thailand

8. Security Measures

Original documents are stored in a fire-resistant safe, the website is served over TLS 1.3, access is limited to assigned staff, and documents are destroyed with a DIN P-4 level shredder once the retention period ends.
